Vestry Meeting
April 9, 2002

Attendees: Belinda Byerly-Robins, Dave Thomas, Ken McCormick, Ginger Redman, Allan Jones, Len Whitlock, Beverly Deveaux, Ann Avoux, Elizabeth Ward, Alex Dykes

Absent: Jodi Purcell, Patty Fryer and Nolan Redman

Opening Prayer

March Minutes Minutes from the month of March are approved.

Financial Report/Investment Committee Report Len informed the vestry we are "ahead of schedule." ECA investments have done well for the past 2 months and an unexpected profit.

Retirement payments for Nolan and the guidelines were reviewed. All monies must be paid by June and any monies after will be marked as "gift" due to the tax structure.

Junior Warden/Joint Venture Church Report Allen distributed the JV meeting report.

Allen distributed the report listing all the work to be done on the rectory, costs, and the level of urgency.

Committee Reports Search Committee Update: Doug Dunham and Dennis Moran reported candidate resumes continue to "trickle" in and there are good prospects. The interviewing process will be done in stages and rounds and the first screening will be via telephone around April 20/27 for interested candidates. The selection process begins with a telephone interview, next, a search committee member will visit the candidate in their parish finally the candidate will visit ECA and interview with vestry. The Bishop will also review, approve/reject the final candidate selection.

Doug stated the selection process and criteria are in place and the committee is anxious to have additional candidates. The Easter deadline for interested candidates has been extended so there will be a "good field" of selection. There is a cutoff date. The goal is to have 3 highly qualified candidates

Doug and Dennis were asked, "What are the needs of the Search Committee?" They have no needs. Both committee members informed the vestry of the talent of their constituents, this experience is exciting, and the openness of all search committee members to questions and ideas from the congregation and vestry. The Search Committee will submit a report to be published in the SHAPE that will update the congregation on the progress of the committee.

Ken McCormick; There will be a reception held for Ken Ratten in celebration of his completing seminary training.

Fellowship Ken, Jodi, And Alex will be responsible for coordinating/maintaining the dinner groups.

Christian Education and Youth Linda Nollette is retiring her position as Youth Director. A replacement must be found.

Communications Allan is reviewing the responsibilities of the committee.

Sr. Warden Bev contacted the Bishop and reviewed the process/steps of obtaining an interim priest. The stated he has several candidates to consider. The vestry agrees to have an interim priest versus a supply priest. Priest salary was discussed. Len will research the cost of interim and supply priest costs.

Allan Jones and Penny will meet for further discussion of this situation. The Joint Venture Board regulates the Christian Education program and staff structure. There is a procedure to follow for staff to make/suggest program changes. Allan Jones will review the JV by-laws and discuss the issue with the JV Council for resolution.

The vestry will review the ECA by-laws for revising/updating. The vestry will make recommendations to Alex and Allen.

Vestry Selection of a Rector Allan Jones suggested the vestry have a process, criteria, and rating system for selecting a rector. The vestry agreed. Dave will construct questions for the vestry to ask the candidate. The vestry considered and agreed to have small panels versus a large group, to interview the candidate. Each panel will have a key person to write the responses of the candidate while others ask the questions. Dave will use the ECA profile to construct questions.

The SHAPE Allan Jones will submit the article representing the vestry for the SHAPE.

Old Business June 29th will be Nolan's retirement party. It will we a BBQ and will include families/children. The cost will be researched and Ken will present an expense budget at the next meeting.
