Vestry Meeting
April 23, 2002

Opening Prayer

Finance Financial report approved. Investment Committee report given.

Committee Reports

Rectory Allan reported the laying of the patio/sidewalk pavers will be completed in approximately 1 week and the front yard will be redone. A rectory workday will be planned in the near future. Revitalizing of the rectory will be completed by the arrival of the new rector.

Retirement Party Ken reported Nolan's retirement party will be held on Saturday, June 29th at the church. The event will be a BBQ and will include children, adults and guests. There will be activities for children similar to the annual Fun Day event. Babysitting will be provided, BBQ will be catered, and sodas are to be purchased separate. Ken is researching costs for catering.

A motion was made by Dave to charge $15.00 per adult for the lunch. There will be no charge for children and guests. The motion was 2nd by Len and all in favor.

Senior Warden's Remarks

Bev distributed a letter addressed to the vestry from Robin Root. Robin requests the vestry consider making a contribution of $1,000.00 from the outreach fund to Bishop Shalilta in Muhabura, Uganda. The gift will be an "unofficial" pension donation. There is an existing fund for the Bishop. Nolan will be consulted for clarification.

Bev asks for prayers for the Santa Maria Mission. The Mission is having problems meeting their financial obligations.

New Business

ECA Long Range Plan Jodi and Allan will gather all past information and surveys, solicit interested congregation members and "flesh out" information to assist in developing a long-range plan for ECA. They will report their findings to the vestry.

Church Photo Directory The directory will contain ECA members only. In a survey conducted by Alex, the majority of the parishioners are in favor of permitting their children's picture to be published in the directory.

Elizabeth reported on the liability of the church to produce a church photo directory with children's pictures, names, addresses and phone numbers. It is the responsibility of the church to safeguard the pictures, names, phone numbers, and addresses of children.

A motion was made by Alex to have a release form signed by parents who agree to allow their children's pictures to be included in the church photo directory. The vestry is in accord and the motion passed. The church will produce the form and the forms are to be signed by the child's parents at the time the photo is taken.

A 20% overage of pictures is expected. There will be software containing the pictures and information of each participating parishioner. This software is to be for the rector's database and education department only. It will not be for general access. There will be no information or pictures available on disk to parishioners because of liability purposes.

Elizabeth and Alex will draft the release.

Rector Dave compiled a list of interviewing questions for vestry members to ask each final candidate. The vestry at the next meeting will review the questions. Dave will outline a process to conduct the interviewing for next meeting.

By-laws Revisions of the By-Laws were reviewed and discussed. Further revisions of ECA By-Laws are to be sent to Alex for processing.

Alex will call the Diocesan office for clarification of JV By-Laws. All suggestions/revisions of the JV By-Laws are to be sent to Alex for processing.

ECA and JV by-laws will be reviewed and finalized at the next meeting.

Open Action Items

The SHAPE Allen informed the vestry Shirley will edit and design articles for the SHAPE each month. The Communication Committee will solicit articles to be submitted. Church members will be asked to assist with labeling and mailing the newspaper, perhaps a committee formed. Belinda will research the possibilities and report to the vestry.

Interim Priest The contract process, salary requirements, benefits/pension and possibility of obtaining the services of John Buenz to bridge the rector gap until ECA has a rector in place was discussed. Len will talk with John and ask him if he would be interested in being our interim priest. Len will also talk with the Cannon of the Ordinary to verify content needed in a contract, the limitations, and the minimum commitments required from both parties. He will report his findings at the next meeting.
