Vestry Minutes: January 11, 2005

Stephen Mills opened the meeting with prayer at 7:06 p.m.

Attending were: Stephen Mills, Jon Mills, Ellen Lukanc, Alex Dykes, Ken McCormick, Jack Jackman, Alan Jones, Terry Root, Mary McPherson, Pat Rimroth, Kim Petruzzelli, Hans Spanjaart, and Sandra Mueller.

Rector's Report: Stephen reported that attendance was evenly spread out at all Christmas services. The Talent Night on January 5th, was well done by Jon Leslie. The high point was the Bret Harte Advanced Drama students presentation of "The Best Christmas Pageant Ever". He and Paul Smith-Telfer will have a class on contemporary issues or stewardship. They will also have a four-week confirmation class for eighth graders and others who want to prepare for Bishop Romero's coming on Palm Sunday. Diocesan Convention is coming up on January14/15 at Seaside. One of the controversial issues will be the 10/10/10 proposal. The questions will be: Where is mission done? and Who are we as a Diocese and where do we want to go?

Finance Report: As of January 11, 2005 we have 72 families pledging for an income of $191,360. (In year 2004 we had 86 pledging families for an income of $207,000.) The budget was presented for the next year. There were several changes. ECA will again, by arrangement with the Diocese, pay off its 2004 Fair Share debt in installments.

Annual Meeting Report: A budget will be presented to the congregation at the Annual Meeting on the evening of January 22 in the Fellowship Hall. An income statement that includes the 2004 actual, 2004 budget and 2005 budget numbers will be included. A cash flow statement for 2005 will also be included, which currently shows a negative cash flow of $37,287. (This means that even if we are paying the Diocese only $2,200 per month in 2005, we're still short $37k). There will be an oral synopsis of the Vestry reports and a report of new happenings and things to come. We will use paper ballots and record the meeting. Ken will cover the ministries and say what we did and what we want to do and here is our budget. Stephen will say what our priorities are in consultation with the vestry. He will highlight things in his report and then project into the future. John Leslie will give a report on music and Katie McCormick will report on the youth. Montgomery Meals, outreach, singles will be acknowledged. The presentation is expected to take 30 minutes. People arrive at 6:00 p.m. Dinner starts at 6:30 p.m. Dessert and the meeting will begin at 7:15 p.m. There will be a Q & A following. Voting will be held afterward. ECA netted $506 from the Christmas party. This money will be used for the Annual Meeting. Set-up and cooking parties were loosely formed. Ken will notify times and jobs.

Youth Report: There will be 40 (including youth and chaperones) going on the Ski Trip. The group will be divided to stay in two different houses. Education Report: The Sunday school has all its needed teachers for the next semester. Rectory Report: Alan will see the current front yard changes through. Parish Administrator: There was discussion of the appropriateness of Lorraine's proposed assignments: to check the users of our building in/out, and check for damage or left debris, and also to set up a web-site for the JV Board. There is a proposal for a joint set of by-laws for the JV Board. Melanie Click will address AVUCC Council re: bylaws changes for JV Board and Lorraine's hours, namely four more hours for the Lorraine to handle additional work.

New News: There is no retreat date yet for the new vestry.

Stephen Mills concluded the meeting at 9:05 p.m. with a prayer of praise for the past vestry and hopes for the new vestry to work well together.

Respectfully submitted,

Sandra Mueller
