Vestry Meeting
March 12, 2002

Attendees

Elizabeth Ward, Ken McCormick, Anne Avoux, Len Whitlock, Patty Fryer, Allan Jones, Ginger Redman, Alex Dykes, Belinda and Jodi Purcell.

Absent: Dave Thomas, Bev Deveaux

Finance Report

Len Whitlock reported we are "ahead of budget", expense items are revised and adjustments will be made to the Joint Venture operating budget expenses. Budget was reviewed and unanimously passed.

Investments are stable and going in the right direction.

Visitor: Jack Jackman

Jack Jackman proposed the following questions to the Vestry. 1. What is the direction of the church? 2. What is the long-range plan for ECA. Has the plan been updated? 3. Does the plan clearly identify the goals set by the congregation? 4. Has a skill set been for the new rector been identified and are the skills a match with the needs/goals of ECA?

Nolan acknowledged the importance of these questions thanked Jack for this contribution.

Nolan informed the vestry that in the past, ECA has conducted an in-depth study of congregational needs and long term plans. This data is available and can be used to "flesh out" a plan for long term and short-term goals.

A Long-range Planning Group will be formed to set clearly articulated goals. Ginger, Allan, Jodi and Alex will review the brochure, all past information, and information profile material.

ECA community outreach and fellowship activities were discussed. Jodi gave recommendation/suggestion for fellowship gatherings. The bulletin board was noted as a main visual for visitors to obtain information about ECA and create interest. This can be used more effectively to represent/inform all readers of the activities ECA is involved in a doing.

Joint Venture Church Report

The following items were discussed and approved by the Joint Venture Committee:

  1. Babysitting fees will be paid by Joint Venture
  2. Termite inspection at the church has been and is contracted for inspection on a monthly basis.
  3. The church roof leaks and there will be an estimate for repair by a roofer.
  4. ECA secretary will be working on Monday and Friday.  If anyone requires her expertise, please contact her (Shirley).
  5. Allan will send a copy of the approved minutes to the vestry via email.

Rectory

Allan reported on progress of refurbishing the rectory. A basement has been done and categories of immediate need and want established. He has obtained a floor plan of the house and each committee member will have a copy. The process has begun. Purchase orders have been requisitioned to purchase supplies for the immediate needs. Allan stated the property would be maintained to a high standard, guidelines established and followed.

Portrait Directory

The safety aspect of children's pictures shown in the church directory was discussed. A signed release would be required to protect the church. Additional information is required and the final decision was tabled and will be revisited at the April meeting.

Shape Articles

Nolan emphasized the need for more articles to be submitted for our monthly newsletter. The letter is sent to many other areas other than our congregation and is a direct reflection on ECA. How to encourage and acquire more participation is critical.

Search Update

Allan read the report submitted by Dave Byers of the Search Committee. He will email this report to each vestry member.

New Business

JV Bylaws must be reviewed. Hand out from Nolan; Suggestions for participation in Vestry meetings. Develop fundraising avenues to cover deficit. The vestry agreed a meeting would be held every 2 weeks. The next meeting will be 03/26/02.

Nolan will attend these meetings. The agenda will focus on: 1. Organization-What we want to do as a vestry. 2. Define/discuss committees 3. Having an interim priest.
