Vestry Minutes: March 9, 2004

The meeting was called to order at 7:05 pm with an opening prayer.

Minutes for January and February were approved.

New Items: The Vestry has decided to present Julianne with a parting gift of two identical rose bushes: one to take with her and one for the rose garden to remember her by after she leaves in April. Ellen Lukanc will purchase rose bushes and card.

Committee Reports:

Christian Education: Terry Root reported that the Sr. and Jr. High worked at the Heifer International program in Ceres, CA The program simulated 3rd world conditions and sustainable agriculture.

Ellen Lukanc reported youth will help at Easter Sunday service.
March 20 the Sr. High will attend a dating workshop in Danville called
"Teens-Discover God's Plan for Great Relationships"
Youth will go to New Beginnings in May and plan a rafting trip in August.
Jr. High meets every other Friday.

Mary McPherson reported that 22 young adults attending The Purpose Driven Life Lenten Study

The 5th and 6th grade Sunday School students will be given Bibles at a Coming of Age Ceremony at church March 21.

Kathy Dunham is offering youth opportunities to serve at Montgomery Meals. Teens can earn service hours for their work.

Communication: Kim Petruzzelli noted a blank editor's column in the Shape and four blank pages in some issues. Allan reiterated the process for proofing the Shape: the Shape is to be sent to Kim Petruzzelli for final proofreading. Further, if there is anything offensive or contentious in the newsletter it is to be brought to Stephen for amending.

The poster in Fellowship Hall details Fellowship events. Individuals in charge of each event are responsible for making posters for that event.

Vestry Visitors: Sandy Baldwin and Todd Axtell from Joint Venture Music Committee came to ask the Vestry to refer the issue of John Leslie's contract back to executive committee for the purpose of changing the amount of vacation time in his contract.

Recommendations from Vestry:

  1. Re-form the Executive Committee to review the contract.
  2. As JV Board has no jurisdiction over hiring or work contracts, the JV president should not be on the Music Executive Committee (as was the case).
  3. The committee should be made up of the Senior Warden and Moderator, the pastors of both churches and a member of UCC (Council or congregation) and a member of ECA vestry. Jack Jackman has volunteered to be the representative.

Finance: Elizabeth Ward and Pat Rimroth reported that pledges have risen to 82.

JV president has sent a letter agreeing to modified JV budget.

Jr. Warden's Report: Ken asked to receive the JV Board minutes. Kim asked that those minutes be sent to the ECA webmaster. Ken reported that a back-yard neighbor of the Mills has requested the payment of $450 for a new fence between the yards. 30 feet of backyard rectory fence was unilaterally replaced without agreement with the Jr. Warden. No bill has been received. Allan will deal with the issue of the bill if it is sent. The side rectory gate needs replacement. Allan will look for materials. Allan will have the front yard weeds pulled. He wants a volunteer to replace the gardener.

Richard Mueller (Diocese of El Camino Real) is happy with ECA's proposal for payment of its Fair Share. Ken will write to the Diocese confirming the discussion with Richard Mueller.

Fundraising: ECA will hold an Auction in September. 100% vestry participation.

Fellowship Committee will meet to discuss fellowship dinners at local restaurants.

Vestry reps voted to meet in between services with JV.

Planning and Administration: Allan proposes a Planning Calendar: the master calendar broken down in action and timetables. He and Jack will work on it.
