March '99 Vestry Meeting

Old Business

Joan Wagner, officially elected as Vestry Clerk.
Minutes of the February 6, 1999 were read and approved.
No additions and corrections were required.

Financial Report: Maryke Williams:

The Financial Report for January and February was reviewed by the Vestry.
Maryke explained in detail the new report format.
This report was approved by the Vestry.

The financial software package, Automated Church Systems, included a monthly technical support of $64.

A Request for Payment Form with attached bills will be required for payment of vouchers. Maryke will not pay unless the appropriate form with signatures. An audit of the financial books will be performed in March by Alex Dershimer.

Investment Committee Report: Ed Mueller

Down 1.7% for the month – total.

The Select 10 investment has been sold. A review of PAXWORLD fund was discussed. The committee will wait for a period to see how the market settles out prior to investment.

Joint Venture Report

Termite damage on wooden decks may require cement pad replacements and is under investigation.
Advertisement in Almaden Times may be reduced in price and perhaps enlarged.
JV Workday is March 27, 1999 from 9-12. We need to support this event.
The backboard has been straightened out and support for hoop constructed. Russ and Ron dealt with this situation. Notify Al Day. Facility Maintenance: Notify Al Day with items for repair/maintenance.

Rectory Report

Side fences require replacement and or patching. Bid for fence installation will be let for the full side replacement of a good neighbor fence. Ron will patch the other side.

Kathy Dunham will be joining the Worship Committee and the Fellowship Committee.

Lay reader robes need replacement. A question was raised on the status of the choir robes. Do they require replacement? Kathy Dunham will research this issue.

Communications

Russ has received suggestions from various people. Shape to get out on time. People want a calendar.

Discussion related to Shape: Congregation wants a quality report and good-looking publication. A real need for timely information coming out at first of month. Nolan proposed to put out a mailing of the calendar of events and timely information at the first of the month. Kimberly is having a difficult time getting the Shape out due to over burden and late arrival of articles. Question: What can be done to help Kimberly?

Use of e-mail to broadcast events was discussed. Not all members of church have email.

Short term solution: Nolan will place a 6-week calendar in the mail, first class to 130 families on the 24th of the month. The information is due on 21st of month. Weekly bulletin on Sunday, notices due on Wednesday, weekly Shape articles are due in March 14 on disk. Shape is run off and put in mail, one day after receipt of newsletter.

Charitable Contributions

Support of Dori Torrey. Move to contribute from the Schaddinger account to Dori. Motion seconded. Check to be written in June. Clinical pastoral education at Stanford. Motion was carried. Move to renew support for Dori for the 1999-2000 school year , seconded and approved by the vestry.

Stewardship

Terry’s view of stewardship is to be published in the Shape.

Worship

Announcements in our church seem to get out of hand and take away from the dignity and religious portion of the service. Submit in writing at beginning of service and then read out by one person. Discussion: Sharing of events more personable, organization of this event may take away from the church. Use of a white board in the Narthex for announcements to be read on the way into church. Take centering time after announcements are made.

Inreach - Pastoral Care

Revamping Good Sams this year. Enhancement of program this year.

Youth

Kyle will be available through August. He will train new youth leader prior to leaving for grad school. Nolan and Julianne discussed need for a replacement for Kyle. Kyle would like to see a return to the Nancy Romer style type of leader, i.e. A mom with kids growing up in parish. Kyle, vestry member, and kids involved in the selection of the leader. Give any input to Natalie. Kyle needs help. Program needs to be restructured.

Fellowship

People are not wearing their nametags. This makes it difficult for the new people. This is really important. We have a button machine.

Christian Education

Rescheduled.

Outreach

Robin Root will chair the Alternative Christmas. Santa Maria Urban Mission and Montgomery Meals is going well. The mission needs a retired person with a pickup that can give 2 hrs per week to help to pick up food from the food bank. Call down to Mission. Honduran donations have gone into the Bishops fund. Need to have someone contact Dave Lee. A needs assessment will be made by Roberta.

Vestry Meeting Information Focus

Focus on one area that will be communicated to the congregation. Youth will be April Meeting’s focus. The vestry agenda will be posted prior to meeting. Fellowship planning on Friday March 12. The Vestry is to take calendars and look ahead for planning a master calendar for the year. Help with the communication for the parish.
