Vestry Minutes: November 9, 2004

Stephen opened the meeting with prayer at 20:10 In attendance were: Ken McCormick, Jon Mills, Allan Jones, Ellen Lukanc, Jack Jackman, Susie Ferguson, Kim Petruzzelli, Pat Rimroth, Stephen Mills, and Sandra Mueller.

Rector's Report: Stephen reported that nineteen people were welcomed into ECA. A stewardship letter has gone out and so far 17 pledges have come in. Planning for Christmas is in process.

Minutes from the last meeting were approved as printed.

Youth Report: Ellen reported that the Jr. High group is meeting in the closet. They will be selling Christmas wreaths. Jon Mills reported that the Sr. High group would again be having a servant auction to raise funds. So far seven to nine kids have signed up to go on the mission trip. Both Jr. and Sr. High groups have attended (gratis) the Tabard production of The Lion, The Witch, and The Wardrobe. Action: Jon and Ellen will write articles about this special event to go into the Shape.

Worship: Susie Ferguson reported that the next Worship Committee meeting will be held on December 5 and is open especially to people whom have comments or suggestions. This meeting will cover planning for the March through April time period.

Fellowship: The ECA Christmas Party will be on December 17 a Friday, starting at 6:00 p.m. It will be catered. Action: Kim, Ellen and Susie will print the time and date in the Shape and get up a committee to work on the details. It was recommended that we have carols.

Communications: A discussion was held regarded the publishing of the Shape.

Planning: Allan presented a planning grid to assist a new vestry with a timetable of events at ECA.

Finance: Action: Pat Rimroth and Elizabeth will write up a job description for the person in charge of Scrip.

Finance Report: Pat Rimroth reported that the plate offering for October was $987.97 and Plate Offerings contributed to date are $8,426.50, which is on budget. The August Pledge Offering was $17,174.96. YTD the pledge offering is $175,139.18 versus a budget plan of $173,303.30. This is approximately 84% of the annual budget, which is just ahead of plan.

The total revenues for October were $19,655.18 versus expenses of $23,854.02. This resulted in a negative net operating balance for the month of $4,198.84. Year to date actual financial analysis (cash flow) indicates a positive balance of $8,966.72, which will be carried forward for 2004 expenses.

The 2003 Diocesan Fair Share was paid off in full. The distribution of funds toward the 2004 Diocesan Fair Share ($5000) and the Youth Group ($2500) were completed this month. These payments are from the auction proceeds.

Total Auction Income Balance post expenses ($ 896.17) is $16,802.09.

Finance Committee Report: Pat Rimroth and Elizabeth Ward have begun drafting a proposed 2005 annual budget for preliminary review at the next Vestry meeting with the assistance from Maryke Williams.

Tabard: Alex Dykes, Mary Leal and Bob Farnquist are the liaison committee from our churches for the Tabard Theater.

Rectory: Allan Jones reported that he would need to budget $1,000 to beautify the rectory front yard. He proposed to have the current gardener clear out the existing junipers, roots and all for $500; use the boy scouts to remove the rocks to the parkway; update the sprinkler system for $100; and rent rototilling equipment for $100. After adding two cubic yards of compost a new lawn would be planted. Allan proposes to edge the front yard with donated agapanthus from parishioners. The front gate needs replacement at a cost of $25 for lumber.

Motion: The motion to implement this improvement to the Rectory was made, seconded and approved. Project money will fall under line item account number 5057.

Sr. Warden's Report: Ken McCormick asked that the God Squad inform and invite Vestry members to the Welcoming Breakfasts. He advised that a small article be written and included in the Shape with profiles of the new members who have been welcomed. Our Annual Dinner Meeting will be held on Saturday January 22, 2005.

Next Vestry meeting will be a potluck at 6:30p.m. on December 14. This will be the last Vestry meeting of 2004.
