Vestry Minutes for November 22, 2005

Approval of Minutes (October 2005)

·          Hans Spanjaart was there in spirit only.

·          George has given a few remarks to Inge for corrections.

·          Minutes accepted.

New business

·          Mary’s proposal on Vestry retreat. Location: Mission Springs. Cost $140/person. Friday evening to Sunday morning. Funding paid from ECA budget, line item t.b.d.. Dates: Jan 20-22. Sandie moves to accept proposal, Debbie seconds. Proposal accepted. Organizing committee: Suzie, Stephen, Mary, George.

·          Rectors Support Group. Stephen expresses his gratitude to the people who have supported him through this group. Stephen will talk with Jon to discuss replacement of some members who will be leaving the group.

Committee Reports

·          Finance

o       Hans is working with Pat on the transfer of ownership, is delayed due to non-availability of either.

o       Stewardship: Sandie has requested and received a number of testimonials regarding pledging and tithing. George has an example from another Episcopal church ( St. Andrews , Encinitas) on how they present their pledge request. Stephen suggest to make pledging a subject for the retreat. George suggests linking the pledging to Christmas and the associated giving. Stephen requests that vestry members who feel moved to do so, submit their testimonials by Tuesday next week to him. Indicate if the submission is anonymous.

·          Fellowship

o       Annual meeting. Some people responded that they would like to see more opportunity to have discussions in the meeting. Can/should we send the annual report a week ahead of the meeting? Should the vestry stay at the end of the meeting for Question & Answer sessions?
Video was received positively. Everyone is requested to supply copies of pictures/movies/sound to Desi, this way a lot of material will be available for next year’s video.

o       Debbie: Dec 10 Christmas party. Catered, $18/person. Baby sitters available. BYOB. Is announced in the bulletin.

o       Sandie: 2006 Fellowship dinners. 28 Families w/o children, 7 families w/ children (including some from AVUCC) signed up. Suggestion is to have diner hosts invite newcomers in the church. Jenny Hoyt has a list of newcomers.

·          Worship committee. Sandie will have potluck January 13. Altar Guild is going well.

·          Christian Education. The movie showed at the Sr. High event for Halloween accidentally was R-rated. This will be brought up in the next meeting, to see how we can avoid this in the future.

Jr. Warden report

·          George: found a solar powered light for the sign, and that seems to work very well.

·          George: send an email message regarding the request for an outside Christmas crèche. We’re worried about vandalism to the nativity scene and the lighting. What about a lighted version on the roof? Vestry accepted that we request JV to work out proposals, based on $1000 from ECA, assume matching funds from UVACC. Second option is to work on an agreement on allocating a memorial fund.

Other business

·          Hans: will maintain an archive of all (final versions of) vestry minutes, and distribute to Marijke, and Kim for publication on web site. Everyone who produced minutes this year make sure Hans receives the final version.

·          Next vestry meeting: Wednesday Dec 14, 6:30pm . Holy spirit Potluck. 2005 & 2006 vestry. Jon will send out invitation. Location: church.

·          We’ve $40 or so in the bucket from the ‘dollar fund’, which incidentally was increased by another $2 during this vestry meeting. It has been decided to donate this into Stephens discretionary fund.
